Admin Secretary- Iqama Transfer Basis
Core Responsibilities
Administrative & Secretarial Support: Managing schedules, calendars, and appointments for senior staff and arranging meetings, including preparing agendas and taking minutes.
Project Documentation & Control: Handling incoming/outgoing letters, ensuring proper filing systems (electronic and hard copy), and managing document workflows for approvals.
Communication & Liaison: Acting as a point of contact for project teams and external stakeholders (including Aramco staff).
Logistics & Travel Arrangements: Organizing travel itineraries, flight tickets, hotel accommodations, and visa applications using systems like ESTB.
Office Management: Ordering office supplies, maintaining inventory, and coordinating with IT/facilities for maintenance.
Reporting & Data Entry: Compiling reports, preparing presentations, and updating project databases.
Aramco-Specific/Technical Tasks
SAP Operations: Creating SAP work notifications, Service Entry Sheets (SES), and updating material requests.
Timesheet & Invoice Verification: Processing monthly timesheets for staff and contractors, and checking invoices.
Work Permits: Assisting with work permit documentation, revalidation, and ensuring site safety compliance.
Confidentiality & Compliance: Following strict HSE (health, safety, and environmental) policies and maintaining the confidentiality of sensitive project data.
Required Skills & Qualifications
Experience: 3–7+ years in secretarial or office support roles, preferably in the oil & gas industry.
Education: Bachelor’s degree in Business Administration or a related field.
Technical Skills: Proficiency in MS Office Suite (Word, Excel, PowerPoint) and SAP.
Communication: Strong written and verbal English communication skills.
